Have you prepared your schedule?

We all want to do a lot of things in our life but time falls short. Is it really true or do we fail to manage time?

Well, here I am not going to share about time management but we are going to discuss how to develop a time management mindset.

We have a large list of daily tasks that we can’t even finish in one day. But because we never prepared a schedule, we don’t know that it is even possible to do this in one day.

Let me tell you my story — one day, I made a list of all the tasks I wanted to do, including all my hobbies, all the skills I wanted to learn, all the Shows I wanted to watch and everything. And also noted how much time it will take to do. When I calculated the time tasks would take, I was surprised because it was taking more than 24hrs. Means I was trying to do things which are next to impossible. But I didn’t stop here, then I calculated how much time I actually have to do my tasks. Examples are given below:

Calculation of task and required time (Example) –

Workout — 1Hr

Meditation — 30Min

Book Reading — 1Hr

Blogging — 2Hrs

Podcast Recording — 30Min

Podcast Editing — 2Hr

Swimming — 2Hrs

Learn second language — 1Hr

Home cleaning — 1Hr

Time with family and friends — 2Hrs

Other Projects — 2Hrs

Total — 15Hrs

Calculation of how much time I have (Example) –

Sleeping — 8Hrs

Personal Maintenance — 2Hrs

Breakfast, lunch, dinner — 2Hrs

Total — 12Hr | 24–12 = 12Hrs (I only have for my work)

My tasks’ time was more than actual time I have. Then I eliminate some tasks according to its priority and adjust the timings of it. And then I prepared a suitable schedule.

How to prepare a suitable schedule?

Suitable schedule means a schedule which suits your habits and makes you feel comfortable. In excitement sometimes we make a hard and tight schedule and then we aren’t able to follow it. So let’s see, how to prepare a suitable schedule –

Make a list — make a list of all your tasks you want to do.

Observe yourself — Then observe yourself and notice which time suits for a particular task. For example I like to read books in the morning and if I schedule it for the evening, I won’t be able to read. If I like to work out before breakfast, I cannot schedule it before dinner. So observe what your body and mind suits.

Make a schedule on paper — once you observe everything about you then write every task on paper and assign time which suits it.

Do not schedule everything — we all have a long list of tasks but we are not superman. We don’t need to do everything daily. We can schedule some tasks on alternative, or twice in a week or once in a week, according to the requirements of that task and also keep in mind its priority.

Feel free to modify — This is not a hard and tough rule that you have to follow your schedule, no matter what you have been through. When you realise that this schedule is not suitable now, modify it. Keep updating according to your requirements.

Benefits of Scheduling

It is very important to know the benefits of making schedule because it will motivate us to make a best schedule and utilising the benefits of it –

Reduce time wasting — We don’t need to spend much time thinking about what to do. Because we planned everything so we know. And we eliminate tasks which are not required, it saves more time.

Achieve goals — we assign time to different tasks according to their priorities. So we know which tasks need more time and less time. Also it helps us to be more focused in our work.

Do not miss anything — Because there are many things in our mind, sometimes it is difficult to remember everything. When we schedule there is less chance to forget, we can use reminders and also we can check our schedule time to time.

Improve productivity — our body and our mind become habitual of the schedule, so we don’t need to face the problem of laziness and procrastination. When we do the same thing at the same time regularly, then we don’t need to struggle that much and because of this we automatically improve our productivity.
